For nonprofit & business leaders

You carry the vision. Who carries the systems?

I'm Vince Cain. Whether you lead a nonprofit or run a growing business, I help you see what's actually holding your organization back, then build the systems and technology to fix it, designed around the people who use them.

Sound familiar?

It's not you. It's the systems.

If everything runs through you, that's not you falling short. It's what happens when the work outgrows the systems built to carry it, and it's fixable.

Everything runs through you

When you're out, things stall. That's not a character flaw. It's a missing system.

Your people want to help but aren't set up to

Boards, teams, volunteers: good people with undefined jobs will always default to the sidelines.

The systems live in your head

Nothing written down, reporting that eats weekends. Growth doesn't fix it. Growth makes it heavier.

61% of small-business owners take five or fewer days off a year, most because they don't believe the place can run without them. If you're the person everything runs through, nonprofit or business, that's not dedication. It's a missing system. OnDeck survey, via U.S. Chamber of Commerce

How I help

Here's what gets better.

First we get clear on what's actually going on. Then we build. I work with everyone from brand-new founders to established teams: nonprofits, ministries, and associations, and businesses from the trades to professional practices. Whatever your size or budget, all-volunteer or fully staffed, I scope the work to fit.

Clarity on what's actually going on

  • Facilitated discovery and strategic analysis
  • An honest read on people, process, and technology
  • Strategy with scorecards and quarterly priorities

Leadership that actually leads

  • Clear roles and working policies
  • Meetings that end in decisions
  • Retreats that turn good people into an engaged board or leadership team
  • The second-in-command follow-through that turns your priorities into quarterly focus and real accountability, without adding a full-time executive
  • One-on-one coaching for the leader everything runs through

Revenue that doesn't depend on one person

  • Donor, customer, and client databases set up and humming
  • Pipeline and prospect tracking beyond the spreadsheet
  • Time spent on relationships, not reporting

Operations that run without you in the room

  • Processes documented, not memorized
  • The right technology doing the boring parts
  • Systems that scale from pilot to proven
  • A business documented well enough to run without you, or hand to the next owner or generation
  • One playbook every location runs the same
  • For programs: intake, eligibility, and participant tracking your team actually uses

I work in whatever tools your organization already runs on. These are the ones I know deepest: HubSpot, Bloomerang, Notion, Asana, QuickBooks Online, Circle, and Claude and other AI where it earns its keep. I'm a Bloomerang Partner.

About Vince

What I love isn't the spreadsheet or the org chart. It's the question underneath: why do we do it this way, and what's it costing us? I dig into how a team really works, where the work gets stuck, and what's quietly holding good people back. Then I build the systems and structure that clear it, so the team's day gets better and the organization does more of what it's here for, whether that's more impact or more profit. Left brain, for right-brain people.

I'm a Project Management Professional with fifteen-plus years across corporate, startup, and nonprofit work, and numerous nonprofit boards. I build the operational backbone (systems, governance, and operations) and coach the leaders who run it. Grant writing, fundraising execution, and any skill outside mine I hand to trusted specialists, so the work is never capped by one person's bandwidth.

That conviction runs deep enough that in 2023 I produced the Louisville premiere of UnCharitable, the documentary making the case that nonprofits deserve real investment in the infrastructure behind their missions.

Beyond the consulting practice, I co-founded Coach House, a venture studio building tools for mission-driven operators, and founded Resolve KY, a peer community for the people who run nonprofits. Everything points the same direction: purpose beyond profit.
